How to Schedule Au Pair Hours When School, Work, and Activities Keep Changing

Treat work changes as schedule inputs. When a meeting moves, update the coverage required that day, then look at the rest of the week. If the au pair is already at 38 of 45 configured weekly hours, Thursday cannot simply expand unless another day shrinks.

Add sports, extracurriculars, and pickups

Activities are rarely just the listed start time. Soccer Tuesday at 4:30 PM may need a 4:00 PM departure, a water bottle, a uniform, a ride, and a later return. Ballet Wednesday at 4:00 PM may collide with 12:30 PM early dismissal, which means a longer stretch of coverage before the class even starts.

Write pickups as their own facts. “School ends 2:30 PM” and “Soccer 4:30 PM” are two events. The hours between them still need a person responsible for the child. That is usually the heart of the weekday au pair schedule.

Calculate daily and weekly scheduled hours

How do I avoid scheduling an au pair too many hours? Add the hours before you send the plan. Include drive time that is part of childcare. Include the morning block, not only after-school hours. If your family uses a daily limit as well as a weekly limit, check both.
